Move-In Inspection Reports with Tenant Sign-Off
Create photo-based property condition reports at move-in. Tenants review and sign off via a portal link — no account needed. Timestamped PDF generated automatically.
Why this matters
Without a signed move-in inspection report, landlords lose the majority of deposit disputes. Adjudicators at the TDS, DPS, and mydeposits require documented evidence of the property's condition at the start of the tenancy. Without it, the tenant's claim about pre-existing damage is accepted by default.
The Renters' Rights Act 2025 strengthens tenant protections around deposits, making thorough documentation even more critical. A phone full of photos is not enough — adjudicators expect a structured report with timestamps, room-by-room coverage, and evidence that the tenant had the opportunity to review and agree.
What we built
Photo-based property condition reports that follow the format deposit adjudicators expect:
- Room-by-room structure — add rooms to match your property layout, then upload photos for each
- Condition notes — mark each area as Good, Minor Issue, or Damage with optional captions
- Tenant review portal — tenants receive a unique link to review the report. No account required
- Dual confirmation — both landlord and tenant confirm the report independently
- Automatic PDF generation — once both parties confirm, a timestamped PDF is generated and stored securely
The report captures who uploaded each photo, when it was taken, and when each party confirmed — all the metadata that gives the report evidential weight in a dispute.
Win deposit disputes with proper evidence. Create a signed move-in report in minutes — the format adjudicators expect. Go to your properties →
How to use it
- Complete the tenancy agreement (both parties must sign first)
- Go to the Move-In tab on your property page
- Add rooms to match your property layout
- Upload photos for each room with condition notes
- Send the report to your tenant via their portal link
- The tenant reviews and confirms (or raises issues)
- Once both parties confirm, the PDF is generated and stored automatically
The signed report is available from the property's documents section at any time. For a complete guide to building a dispute-ready evidence pack, see the deposit dispute evidence guide.
